We aim to respond to emails within 24 hours during business operating hours. Online booking is available at any hour, though appointments themselves fall within clinic hours.

If you are anxious about dental treatment, say so when you book rather than on the day. With notice we can allow more time, and a first visit can be a conversation with nothing done at all. See dental anxiety.
When you ring, have this ready
It shortens the call considerably.
- Your full name and date of birth
- Which tooth or area, and how long it has been going on
- Whether there is swelling, and whether you can eat and sleep
- Any medications you take, particularly blood thinners
- Your health fund, if you are asking about rebates
- Your treatment plan, if the call is about one
What we can and cannot do over the phone
Worth saying plainly, because it saves a frustrating call.

How urgent is it?

Cancelling or rescheduling
This one has conditions worth knowing before you book rather than after.
- Minimum notice is two (2) business days.
- You must telephone (03) 9088 5808, or leave a voicemail giving your full name, your date of birth or mobile number, the appointment date and time, and a clear request to cancel or reschedule.
- An SMS or email does not cancel an appointment unless and until we confirm it in writing.
- With less than two business days' notice, a no-show, or arriving too late to proceed safely, a fee of $150 per hour of the booked appointment duration may apply — even if the time is filled.
- Deposits may be required for longer appointments and for Zoom whitening, and are refunded or transferred if you give at least two business days' notice.
Reminders go out by SMS and email as a courtesy; not receiving one does not excuse a late cancellation. Full terms on our attendance policies page.
If you need help outside our hours
We do not operate an after-hours or on-call service. If something happens overnight or at a weekend:
- Difficulty breathing or swallowing, spreading facial swelling, uncontrolled bleeding, or a facial injury — call 000 or go to your nearest hospital emergency department. Do not wait for us to open.
- Urgent but not life-threatening — Nurse-on-Call on 1300 60 60 24, 24 hours a day, staffed by registered nurses
- Public emergency dental care — the Royal Dental Hospital of Melbourne, 720 Swanston Street, Carlton, for eligible patients
- A knocked-out adult tooth — minutes matter. Follow the first-aid steps on our broken tooth page and seek care immediately rather than waiting for us to open
- Can wait until morning — manage the pain and ring us when we open

Getting here
By car. Free on-site parking at the rear of the clinic, including reserved accessible parking. The entrance is via White Street off Wattletree Road and is not obvious from the main road — the directions are on our parking page, and worth reading before your first visit. Spaces are limited, and Wattletree Road has clearway restrictions, so check the signs.
Accessibility. The clinic is disability and ambulant access compliant, with reserved accessible parking on site. If you have specific access requirements — wheelchair access, a support person, or difficulty with the laneway approach — ring before your visit and we will reserve the space and allocate a suitable room.
Communication support. Tell us in advance if an interpreter would help, if you are deaf or hard of hearing, or if you would prefer written information to take away. It is easier to arrange before the appointment than during it.
Areas we serve. Malvern East, and neighbouring Armadale, Ashburton, Caulfield, Glen Iris, Prahran, South Yarra and Toorak.
Before your first appointment
A few things that make the visit more useful:
- Complete your forms online. We are largely paperless and will send a link by email or SMS. Doing it beforehand means your appointment time goes on your teeth rather than on paperwork
- Bring your health fund card for on-the-spot HICAPS claiming, and your Medicare card if a child may be eligible under the CDBS
- Bring a list of your medications, including anything over the counter
- Arrange a records transfer from your previous practice — it can save repeating radiographs. Allow a couple of weeks
- Write your questions down. People reliably forget them in the chair
Allow about an hour for a first visit.
For other practitioners
Referring a patient — use the referral form, or ring if it is urgent and you would rather speak to someone.
Requesting records for a patient who has moved to your practice — send the patient's signed authority to info@victoriandentalgroup.com.au and we will action it.
General, supplier and employment enquiries — the same email address reaches us; mark the subject line clearly so it is routed to the right person.
Making a complaint
If something has not gone as it should, we would rather hear it directly. Ring (03) 9088 5808 or email info@victoriandentalgroup.com.au and ask to discuss it.
If you would prefer to raise it independently, you are entitled to. In Victoria, complaints about a health service can be made to the Health Complaints Commissioner (hcc.vic.gov.au), and concerns about a registered practitioner's conduct to AHPRA (ahpra.gov.au). Both are independent of this practice, and neither is an unreasonable step to take.
Privacy
Your health information is handled under the Australian Privacy Principles and Victorian health records legislation. You can request access to your own records, and we can send them to another practice or a specialist on your written instruction. See our privacy policy.
Please do not send clinical details or images by email if you would rather they were not sent that way — ordinary email is not a secure channel. Ring us instead.
We will only discuss a patient's care with that patient, or with a parent or guardian of a child, unless you have given us written authority to speak with someone else. If you would like a partner or family member to be able to ring on your behalf, tell reception and we will note it.
Questions we are asked
Do I need a referral to book? No. You can book directly.
Do you see children? Yes, from the first tooth. See family and children's dentistry.
Can the whole family be seen together? Often, yes — ask reception when booking.
Are you open Saturdays? No. Monday to Friday, 8:00am to 5:00pm, closed public holidays.
How much is a check-up? The current fees, with item numbers, are on the check-up and hygiene page.
Can I cancel by text or email? No — cancellation must be by phone or detailed voicemail. See the section above.
Nobody answered — should I leave a message? Yes, with your name, number and what it is about. Reception is often chairside. If it is urgent, say so in the message.
Can I email a photo of my tooth? You can, and it will not produce a diagnosis — photographs cannot show decay, cracks or infection reliably. Treat it as background for a call, not a substitute for one.
Do you send appointment reminders? Yes, by SMS and email, as a courtesy. They are not a substitute for the notice period if you need to cancel.
What if I am running late? Ring. We can usually tell you whether there is still time to proceed or whether it is better to move the appointment.

What are the opening hours?
Monday to Friday, 8:00am to 5:00pm. Closed Saturday and Sunday, and on public holidays.
How quickly will I get a reply?
The practice aims to respond to emails and contact form enquiries within 24 hours during business hours. Messages sent overnight, at weekends or on public holidays are picked up the next business day.
Should I email if it is urgent?
No. Email and the contact form are not monitored continuously and are not suitable for anything urgent — phone (03) 9088 5808 instead. Outside opening hours, go to a hospital emergency department or call 000 for difficulty breathing or swallowing, facial swelling that is spreading, fever with facial swelling, uncontrolled bleeding, or a significant facial injury. A knocked-out adult tooth is time-critical: keep it in milk or saliva, never water, and seek help immediately.
How do I book an appointment?
Book online at onlineappointment.carestack.au, phone (03) 9088 5808, or ask through the contact form. If you are in pain, phone rather than booking online so the urgency can be assessed.
Is there parking, and is the clinic accessible?
Parking is available nearby, and we are built to disability and ambulant access requirements. If you have specific access needs — a wheelchair, a mobility aid, an assistance animal, or an interpreter — mention it when booking so the visit can be arranged properly.
Is the practice on social media?
Yes — Facebook and Instagram, both at victoriandentalgroup. Social media is not a way to book, cancel or discuss anything clinical; use the phone for that, and do not send personal health information through a social platform.
Who do I contact about my records, an account or a concern?
Phone (03) 9088 5808 or email info@victoriandentalgroup.com.au for a copy of your records, an account query, or to raise a concern — most matters are resolved directly with the practice. If a concern is not resolved, the Health Complaints Commissioner in Victoria handles complaints about health services and AHPRA handles concerns about a registered practitioner.
